Role:

We are seeking a highly organized and detail-oriented Administrative Assistant to provide comprehensive support to our Directors. The successful candidate will play a crucial role in ensuring efficient day-to-day operations, managing administrative tasks, and facilitating effective communication.

Responsibilities:

Calendar Management:

Assist the Directors with the scheduling of appointments, meetings, and travel plans.
Ensure the Directors are well-prepared for upcoming commitments by providing necessary comms support, documentation, and information.

Communication:

Act as a liaison between the Directors and internal/external contacts.
Draft and proofread correspondence, reports, and presentations.
Liaise with internal and external contacts using a variety of modern communication and collaboration tools.

Administrative Support:

Handle administrative tasks such as filing, data entry, and document preparation.
Assist in the preparation of reports and presentations.
Expense management (recording & processing and submitting)

Travel Coordination:

Make travel arrangements, including booking flights, hotels, and transportation.
Prepare travel itineraries and ensure all necessary documents are in order.

Meeting Support:

Arrange and coordinate meetings, both internal and external.
Prepare meeting agendas, take minutes, and distribute relevant documents.

Task Prioritization:

Assist the Directors in prioritizing tasks and deadlines to ensure the Director's time is utilized effectively.
Proactively identify areas where support is needed and take initiative to address them.

Skills and experience required:

Proven experience as an Administrative Assistant or in a similar role.
Excellent organizational and multitasking skills.
Strong communication skills, both written and verbal.
Proficient in Microsoft Word, Excel, PowerPoint, Outlook, Teams. WhatsApp groups and other modern communication and collaboration tools. Knowledge of Slack would be an advantage.
Ability to maintain confidentiality and handle sensitive information with discretion.
Proactive attitude with the ability to anticipate needs and take initiative.
